Overview
This document explains how the XpertOne Zoom integration works, how Users and Experts use it during booked Sessions, how to authorize the application where applicable, and how to remove the integration.
The XpertOne Zoom integration is intended solely to facilitate online meetings between Users and Experts after a booking has been confirmed through the XpertOne platform.
What is the XpertOne Zoom Integration?
The XpertOne Zoom integration allows XpertOne to create and manage Zoom meetings associated with eligible bookings.
Depending on your account type and booking status, the integration may:
- Create Zoom meetings automatically
- Generate secure meeting links
- Associate meetings with confirmed bookings
- Display meeting details within your XpertOne dashboard
- Help Experts and Users join scheduled Sessions
- Synchronize booking schedules with Zoom where supported
The integration is only available for eligible bookings.
Before You Begin
Before using Zoom through XpertOne, ensure that:
- You have an active XpertOne account.
- Your booking has been accepted by the Expert.
- Payment has been completed (where required).
- You have internet access.
- You have a supported browser or the Zoom desktop/mobile application.
How Users Join a Session
- Sign in to your XpertOne account.
- Open My Orders.
- Select the confirmed booking.
- Open the booking details.
- Click Join Meeting when it becomes available.
- You will be redirected to Zoom.
- Join using the Zoom application or supported web browser.
- Wait for the Expert to begin the Session where applicable.
How Experts Start a Session
- Sign in to your XpertOne Expert Dashboard.
- Open the confirmed booking.
- Review the booking details.
- Click Start Meeting.
- Zoom will open automatically or in your browser.
- Conduct the Session according to the booked Scope.
- Upload any required Deliverables after the Session.
Meeting Availability
Meeting links are only available for confirmed bookings.
Meeting access may become available shortly before the scheduled Session time.
Users should not share meeting links with unauthorized persons.
Authorizing the Zoom Integration
Where Zoom authorization is required:
- Sign in to your XpertOne account.
- Follow the authorization prompt.
- Review the requested permissions.
- Approve the authorization.
- Return to XpertOne.
The integration only requests permissions necessary to operate the booked meeting functionality.
Removing the Zoom Integration
If your Zoom account has been connected, you may remove the authorization at any time.
To remove the integration:
From Zoom
- Sign in to your Zoom account.
- Open App Marketplace.
- Open Manage.
- Select Installed Apps.
- Locate XpertOne.
- Click Remove or Uninstall.
- Confirm removal.
Removing authorization may prevent future meeting creation through XpertOne until authorization is granted again.
Permissions
Depending on the features available, the Zoom integration may request permissions necessary to:
- Create meetings
- Read meeting information
- Update meeting schedules
- Cancel meetings
- Access meeting identifiers
- Display meeting links
The permissions requested may change as Zoom updates its platform.
User Responsibilities
Users agree to:
- Join on time.
- Maintain a stable internet connection.
- Keep meeting links confidential.
- Follow XpertOne Terms of Service.
- Follow Zoom’s Terms of Service.
Expert Responsibilities
Experts agree to:
- Join scheduled Sessions.
- Deliver services within the booked Scope.
- Maintain professional conduct.
- Follow applicable laws.
- Follow XpertOne policies.
Recording Sessions
Zoom provides recording functionality.
Whether a Session is recorded is determined by the meeting participants and applicable law.
Participants are responsible for complying with all applicable recording and privacy laws.
XpertOne does not require permission prompts between participants through this documentation and does not control recordings independently made by meeting participants.
Troubleshooting
If you cannot join a meeting:
- Verify that your booking has been confirmed.
- Ensure payment has been completed where applicable.
- Refresh the booking page.
- Verify your internet connection.
- Update your Zoom application.
- Try joining using another supported browser.
- Contact XpertOne Support if the issue persists.
Security
Do not:
- Share meeting links publicly.
- Share passwords.
- Allow unauthorized persons to attend.
- Attempt unauthorized access to another user’s meeting.
Meeting access is intended only for authorized participants.
Removing Your XpertOne Account
If you permanently delete your XpertOne account, any future Zoom integration associated with your Platform account may no longer function.
